The Operations Support Coordinator role is office based in Tamworth and has been introduced as a developmental opportunity to maintain high standards in the Resource and Reconciliation departments while building on our successes. This position follows a 4-on, 4-off shift pattern, involving 12-hour shifts, including weekends, on a rotational basis. Key Responsibilities Reconciliation: The Reconciliation department is responsible for the accurate processing of customer orders following delivery by the driver. This team plays a vital role in ensuring that all orders meet established criteria for invoicing, thereby contributing to the overall efficiency and accuracy of our billing processes. Reconciliation responsibilities include: Input Flexi driver delivery details into the system Validate and reconcile customer orders to ensure compliance with invoicing criteria Monitor and manage unbilled volumes, ensuring they do not exceed 1 million litres Ensure that orders are processed within a timeframe not exceeding 3 weeks from delivery Identify and resolve discrepancies or issues related to orders, employing strong problem-solving skills Collaborate with other departments to enhance order processing efficiency and accuracy Driver paperwork management Raising Shift Errors with the Logistics Support Team Ensure are 3rd party hauliers are inputting the correct data and ensure there is nothing outstanding in the system over 48 hours Chase any missing delivery documents with remote Flexigrid depots Resolve any queries from the Greenergy Sales Ledger team Resource Inbox administration support Sending delivery paperwork to haulage only customers Rectifying any terminal lifting discrepancies and set the order to ready to invoice no liftings should be older than 3 weeks Driver loading error correction Resource: The Resource team serves as the foundational component of the Scheduling function, playing a critical role in ensuring that drivers needs are met and that schedules are prepared accurately and promptly for effective planning. Resource responsibilities include: Manage driver requirements, including overtime, holiday requests, and sickness reporting ensuring all deadlines are consistently met Construct and adjust driver schedules in a timely manner, ensuring that all shifts are adequately filled Ensure that each driver is assigned a truck and trailer, incorporating specific routing requests into their shifts Maintain accurate records of fleet availability, including fleet maintenance and Vehicle Off Road (VOR) statuses, in the scheduling system Collaborate closely with the planning team and Fleet team to ensure seamless scheduling operations Facilitate efficient scheduling that meets operational needs and enhances driver satisfaction Maintain up-to-date records in the scheduling system to reflect the status of all vehicles Teams chat management Send confirmation texts to drivers regarding schedules, changes, and important updates to ensure clear communication and operational efficiency Prepare the next days Fleet Management sheet, ensuring that all planned maintenance and Vehicle Off Road (VOR) statuses are accurately captured and driver / vehicle movements are documented to facilitate smooth operations Ensure that all assets scheduled for planned maintenance have a designated plan for transportation to the workshops, facilitating timely servicing and minimizing downtime. Verify that all drivers are assigned to the correct truck and trailer for the upcoming day to ensure operational efficiency and compliance with routing requirements Operations Support: The Operations Support team plays a vital role in maintaining seamless operations during weekends. This position requires effective communication and problem-solving skills to address various operational needs, including customer service, driver support, and system maintenance. Operations support responsibilities include: Handle customer service inquiries and provide timely assistance to ensure customer satisfaction Manage driver calls, addressing concerns and providing necessary support throughout their shifts.
